Privacy Policy
1. Who is responsible
The controller for the app "AI Meeting Summary" (iPhone, iPad and Apple Watch) and this website is:
Keerthi Bommareddy, Katharinenstr. 17, 40885 Ratingen, Germany
E-mail: keerthibommareddy94@gmail.com
2. The short version
- Free meetings stay on your device. Recording, transcript and summary are processed on your device. Your meetings are not uploaded.
- Pro meetings are uploaded so they can be transcribed and summarised. They are stored in Frankfurt, Germany. Transcription may be processed by Google outside the EU (see section 5).
- Your recordings and transcripts are never used to train AI models.
- No advertising, no tracking across apps or websites. Anonymous usage statistics and crash reports, without meeting content, help us improve the app; you can turn them off in Settings › Privacy.
- You can delete audio, single meetings or your whole account in the app at any time.
3. Recording other people
The app only records after you tap Record and confirm that everyone present has been told and agrees. You are responsible for obtaining that consent; recording people without it is a criminal offence in Germany (§ 201 StGB) and illegal in many other countries. We store the time and version of your confirmation with each meeting.
4. Data we process
4.1 On your device only (free tier)
Audio recordings, transcripts, summaries, notes and action items of free meetings, and imported audio files. They are processed with Apple's on-device speech recognition and on-device language model and stored in the app's container on your device. They leave your device only if you share them yourself or upgrade a meeting to Pro.
4.2 Account (optional, required for Pro)
If you sign in with Apple or Google: a user ID, and the e-mail address Apple or Google provides (with Apple this may be a private relay address). Purpose: to identify your account and your Pro meetings. Legal basis: Art. 6(1)(b) GDPR (contract).
4.3 Pro meetings
Audio segments of the meeting, the transcript with speaker labels, the summary, decisions and action items, the language and template you chose, your notes, the questions you ask about a meeting and their answers, and the consent record. Purpose: to provide the transcription, summary and answers you requested. Legal basis: Art. 6(1)(b) GDPR. Audio is uploaded only after you choose “Process With Pro” and allow AI processing, and is deleted after 30 days by default (you can choose immediately, 7 or 30 days); transcripts, summaries and your questions about a meeting with their answers are kept until you delete the meeting or your account.
For Pro we also record, per account, how many Pro minutes you have processed and how many questions you have asked about meetings each month. Purpose: to apply the monthly allowance shown in the App and to show you how much of it is left. We do not use this for advertising or share it. Legal basis: Art. 6(1)(b) GDPR.
4.4 Subscription
Purchases are made and paid through Apple's App Store; we never receive your payment details. To know whether your subscription is active we use RevenueCat, which receives your app user ID and the purchase receipts from Apple. Legal basis: Art. 6(1)(b) GDPR.
4.5 Security and app integrity
Requests from the app are checked to confirm they come from the genuine app. Our servers log technical request data (time, endpoint, status, IP address) for security and error analysis and delete these logs after 30 days. Legal basis: Art. 6(1)(f) GDPR (our legitimate interest in a secure service).
4.6 Notifications
If you allow notifications, reminders for action items are scheduled on your device as local notifications; nothing about them is sent to us. If you are also signed in, we store a push token for your device so we can tell you when the minutes of a Pro meeting are ready. The token is removed when you sign out or delete your account. Legal basis: your consent via the iOS permission dialog (Art. 6(1)(a) GDPR); you can withdraw it in iOS Settings.
4.7 Usage statistics and crash reports
The app sends anonymous usage events (for example which screen or feature was used, bucketed counts and durations, the app version and your plan) to Google Firebase Analytics, and crash reports (stack trace, device model, OS version) to Google Firebase Crashlytics. They contain no meeting content, names, e-mail addresses or advertising identifiers and are not used for advertising or tracking. A random app-instance ID links the events of one installation. Purpose: to understand which features are used and to fix crashes. Legal basis: Art. 6(1)(f) GDPR (our legitimate interest in a working, improving app). You can turn this off at any time in Settings › Privacy › Share Usage and Crash Data. Crash reports are deleted after 90 days, usage events after at most 14 months.
4.8 This website
The website is static and sets no cookies. When you visit it, the hosting provider processes your IP address and the requested page to deliver it (Art. 6(1)(f) GDPR).
5. Service providers and where data is processed
| Provider | Purpose | Location |
|---|---|---|
| Google Cloud (Google Ireland Ltd.) | Sign-in (including Sign in with Google), database and storage of Pro meetings, servers, notifications, website hosting | Data stored in Frankfurt, Germany |
| Google (Google Ireland Ltd.), AI services | Transcription of Pro meeting audio; summaries; answers to your questions about a meeting | Summaries and answers in the EU. Transcription may be processed outside the EU. No training on your data. Google may keep requests for a limited time solely to detect misuse. |
| Google (Google Ireland Ltd.), Firebase Analytics and Crashlytics | Anonymous usage statistics and crash reports (section 4.7) | EU and USA |

Transfers to countries outside the EU are based on the EU–US Data Privacy Framework where the recipient is certified, and otherwise on the EU Standard Contractual Clauses (Art. 46 GDPR). All providers process data on our behalf under data processing agreements (Art. 28 GDPR).
6. What we do not do
- We do not sell data or share it for advertising.
- We do not use advertising identifiers or track you across apps and websites.
- We do not create voice prints; speaker names are only the names you type.
7. Your rights
You have the right to access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction (Art. 18), data portability (Art. 20) and to object to processing based on legitimate interests (Art. 21 GDPR). You can withdraw your permission for AI processing in Settings › Privacy › AI Processing for Pro, and turn off usage statistics and crash reports there. You can delete meetings and your account directly in the app (Settings › Profile › Delete Account); this deletes your Pro meetings, audio and account data on our servers. An active App Store subscription must be cancelled separately in your Apple account. For all other requests, write to keerthibommareddy94@gmail.com.
You may also complain to a data protection supervisory authority, for example the one responsible for us: the State Commissioner for Data Protection and Freedom of Information of North Rhine-Westphalia (LDI NRW), Kavalleriestraße 2–4, 40213 Düsseldorf, Germany.
8. Children
The app is not intended for children under 16.
9. Changes
We will update this policy when the app changes and show the date of the last update at the top.
